Rollin’ Oldies Car Club of Lebanon By-Laws
ARTICLE I – Membership Dues
Membership dues shall be in the amount of fifteen dollars ($15.00) annually and shall be
payable by August 1 of the new membership year which shall be from July 1 though
June 30. In addition, there shall be a one-time initiation fee of fifteen dollars ($15.00).
New membership will be prorated at an amount of one dollar ($1.25) per month.
Payment of said dues shall provide admittance to all members of a family/household
to all Rollin’ Oldies Car Club of Lebanon meetings and activities. It shall allow voting
privileges for a primary member and one of the following: spouse or companion.
ARTICLE II – Meetings
Section 1.
The annual meeting of the Rollin’ Oldies Car Club of Lebanon for the purpose of
installing officers and transacting such other business as may come before it, shall
be held at a time and place to be determined by the officers and membership.
This sets the terms of officers.
Section 2.
Meetings of the Rollin’ Oldies Car Club of Lebanon other than the annual meeting
prescribed in these By-Laws, shall be held at a time and place to be determined
by the officers and membership.
ARTICLE III – Voting
Section 1.
In all meetings of the Rollin’ Oldies Car Club of Lebanon, each adult member in
good standing whose current dues are paid shall be entitled to one vote. At each
meeting, the club membership shall be the sole and exclusive judge of the
credentials and qualifications of its members.
Section 2.
Elections are held annually at the December meeting. Officers are voted on by
qualified members present and voting.
Section 3.
Nominations shall be made from a current membership list at the November
meeting. The Secretary assembles a ballot containing the names of the nominees
for each elected office and an additional space for a write-in, if so desired by
the voting members.
Section 4.
A quorum shall consist of all members present and voting.
ARTICLE IV – Duties of Officers
Section 1.
President: The President shall be the chief executive officer of the Rollin’ Oldies
Car Club of Lebanon; the President shall preside at all meetings of the Rollin’
Oldies Car Club of Lebanon; The President shall see that all orders and resolutions
of the annual meeting or other meetings of the Rollin’ Oldies Car Club of Lebanon
are carried into effect and shall be personally responsible for the functioning of
all committees, to delegate any specific powers except as may be by statue
specifically conferred upon the President to any other office,officers or members
of the Rollin’ Oldies Car Club of Lebanon. The President shall, in addition to the
foregoing specific powers and duties, have the general powers and duties of
supervising management and interpretation of policies usually invested in the
office of President of a corporation.
Section 2.
Vice President: in case death, resignation, the permanent removal of the
President from the State of Oregon, or his/her temporary absence, the Vice
President shall perform and be vested with all the duties and powers of
the President.
The Vice President will also be responsible to head a committee to review all
requests for Grants-Scholarships and Donations received by the Club. The
Vice President will appoint 3 members from the club to assist him. This
committee will make appropoiate recommendations to the membership for final
decision twice a year. This will be during the April and November club meetings.
Section 3.
Secretary: The Secretary shall attend all meetings of the Rollin’ Oldies Car
Club of Lebanon, and make a record of all their proceedings; conduct such
correspondence of the Rollin’ Oldies Car Club of Lebanon as the President
may designate, maintain an updated membership list as necessary and distribute
current lists to members at intervals deemed appropriate.
Section 4.
Treasurer: The treasurer shall keep the financial records of the Rollin’ Oldies Car
Club of Lebanon and report to the membership such records at each regular
meeting; receive, and disburse all funds of the Rollin’ Oldies Car Club of Lebanon as
necessary to keep commitments current; and such other duties as are commensurate
with the office.
Section 5.
Sergeant-At-Arms: The Sergeant-At-Arms shall be responsible for proper behavior
of members at all gatherings of the club. He/she may levy fines not to exceed
twenty-five cents ($0.25) per offense at meetings, as well as other necessary
disciplinary actions.
Section 6.
Cruise-master: The Cruise-master shall be directly responsible for all tours of the
club, whether chaired by the Cruise-master or delegate for the month. The
Cruise-master shall maintain observance of all traffic laws of the State or County
where a tour takes place. It shall also be the duty of the Cruise-master to determine
that each vehicle on any club tour is insured for property damage, medical coverage,
uninsured motorist and any other coverage required by Oregon law. The Cruise-master
shall also police the spacing of cars on the roads so that other traffic has a sufficient
room to pass as needed. The Cruise-master shall also, before each tour begins moving,
assemble all drivers to outline the route and destination to be taken so that no one becomes
lost. The Cruise-master shall also adjust the speed on tours to insure that slower cars are
not damaged by being over-driven.
Section 7.
Historian/Photographer: The Historian/Photographer shall keep and maintain a scrapbook
of the Rollin’ Oldies Car Club of Lebanon activities. The scrapbook shall include pictures
and any other related documents that are pertinent to the Rollin’ Oldies Car Club of Lebanon
and associated functions. The compiled scrapbooks are to be made available for viewing
by the membership on a quarterly basis at the March, June, September, and December
club meetings.
Section 8.
Newsletter Editor:Â The Newsletter Editor shall maintain current records of birthdays and anniversaries to be
put in the newsletter, arrange, print, and either email or mail the newsletter to all
members and the webmaster
Section 9.
Webmaster: The Web Master shall keep the web site current by posting the newletter, blub
events, pictures and happenings
Section 10.
Hospitality: The Hospitality Chairperson shall be responsible to see that appropriate cards or gifts
are sent to members or families who are ill, have suffered a loss or other serious need at the time.
Editor: The Editor shall maintain a current listing of the advertisers and have on hand a
camera-ready copy of each add supplied by the advertiser. The Editor shall also keep and
maintain a binder of all parts catalogs, miscellaneous correspondence and newsletters from
other clubs to be made available for those current members interested in viewing them.
ARTICLE V – Finances
Section 1.
All funds of the Rollin’ Oldies Car Club of Lebanon shall be deposited by the Treasurer in
the name of the Rollin’ Oldies Car Club of Lebanon in such bank or banks as may be
designated by the officers.
Section 2.
Disbursements shall be only on authorization check, signed by such person(s) as the officers
and members may designate.
Section 3.
An audit of the books and records of the Rollin’ Oldies Car Club of Lebanon shall be
made not less than once a year by a committee of two competent members or such
other persons as the President may designate.
Section 4.
All records and books of accounts of the Rollin’ Oldies Car Club of Lebanon shall be open
to inspection by members in good standing at any reasonable time
ARTICLE VI – Rules of Procedure
The rules of procedure at all meetings of the Rollin’ Oldies Car Club of Lebanon and committees
shall be Robert’s Rules of Order, Revised.
ARTICLE VII – Fiscal Year
The fiscal year of the Rollin’ Oldies Car Club of Lebanon shall be the calendar year.
ARTICLE VIII – Amendments
These By-Laws may be amended or repealed at any annual meeting or other duly called
meeting of the Rollin’ Oldies Car Club of Lebanon by the majority vote of the duly
accredited members entitled to vote, who are present and voting.
